It happens in WooCommerce, then in Xero

  • A new customer

    • Looked for in Xero on email, then on name and updated when found.
    • Otherwise a new contact is created.
  • A guest checkout

    A guest who placed a real order is sent like a customer. An abandoned checkout is not.

  • Name, company, phone or address changes

    The same change is made to the Xero contact on the next sync, where Xero takes it.

  • The email changes

    Not carried: the email is set when the customer is created.

  • WooCommerce's welcome email for new customers is kept back by the free CRM Connector plugin. Without the plugin, customers are only created in the store when you switch on "Send WooCommerce's account email to new customers".

Both connections are checked

Credentials for WooCommerce and Xero are checked and sign in tokens refreshed automatically. If a connection was removed on either side, the integration pauses and you get one message with a reconnect button.

Conflicts

When both sides changed the same record

  • For each two way record type you choose whether WooCommerce or Xero leads. The leading side always runs first in a sync.
  • It only matters when the same record changed in both systems between two syncs. Every other change simply travels.
  • A record is never moved backwards by a sync: a paid invoice is not reopened, a decided quote is not undecided.
