Simpro and Xero

Approved in Simpro, booked in Xero, paid back in Simpro

Every invoice approved in Simpro reaches Xero on its own, with the tax booked per line, and every payment recorded in Xero comes back to the same Simpro invoice, so nobody exports batches or retrieves payments by hand.

How it works

From an approved invoice to a payment in Simpro

What happens on every sync, and where your team takes over.

  1. 1Simpro logoIn Simpro

Your customers stay the same in both

    • Simpro customers and Xero contacts sync both ways, a company customer with its person as the contact.
  2. 2Simpro logoIn Simpro

    The invoice is approved

    • It reaches Xero with one line per cost centre, the dates and the total.
    • A pending invoice waits until it is approved.
  3. 3Xero logoIn Xero

    Tax booked per line

    • Every line gets the Xero tax rate and account you matched once, with the tax Simpro charged, so the total is the same to the cent.
    • The invoice is marked as exported in Simpro, so Simpro's own Xero link skips it.
  4. 4Simpro logoIn Simpro

    The payment comes back

    • A payment recorded in Xero lands on the same Simpro invoice as a customer payment, for exactly the amount newly paid.
    • A part payment and the rest later each arrive once.

Set it up your way

Your choice, your rules

Pick the way your bookkeeper wants it.

How tax lands in Xero

  • Every Simpro tax code and cost centre matched once to a Xero tax rate and account.
  • Each line is booked on its own rate, as if it were typed in Xero.

A Simpro tax code is only matched to a Xero rate with the same percentage. An invoice with a code you have not matched waits, with the reason in the run details, until you match it.

What you decide

  • The payment method

Picked once in the setup, with the account it is deposited to. Every payment from Xero uses it.

  • From which date

Optionally only invoices dated on or after the date you pick, so your history stays where it is.

  • Which customers

Everyone, or only customers who paid an invoice.
