HighLevel and QuickBooks Online
Won in HighLevel, billed in QuickBooks, paid status back as a tag
Every opportunity won in HighLevel becomes a draft QuickBooks Online invoice for the same client, and the contact gets a tag once they have paid or while an invoice runs late, so your HighLevel automations can act on it.
- A draft you send from QuickBooks
- Only won opportunities are billed
- Tags your automations can use

Every step runs on its own, on each sync.
How it works
From a won opportunity to a paid invoice
What happens on every sync, and where your team takes over.
- 1
In HighLevel
Your clients stay the same in both
- Contacts sync both ways between HighLevel and QuickBooks Online, so a won opportunity's invoice lands on the right customer and its payments can tag the right contact.
- 2
In HighLevel
The opportunity is won
- A draft invoice is created in QuickBooks Online for the same client, dated the day it was won, with one line for the opportunity's value.
- It stays a draft until you send it from QuickBooks Online.
- 3
In QuickBooks Online
An invoice runs late
- While one of the client's invoices is past due, the HighLevel contact carries the tag "overdue", until nothing is past due any more.
- 4
In QuickBooks Online
The invoice is paid
- The HighLevel contact gets the tag "customer" once they have paid an invoice, and keeps it.
- Use it to start a review request, a thank you or an upsell workflow in HighLevel.

Set it up your way
Your choice, your rules
Bill from the pipeline, or keep sending invoices from HighLevel.
Two ways to handle invoices
- For teams that sell from a HighLevel pipeline and invoice from QuickBooks.
- Every won opportunity becomes one draft invoice for its value.
In one integration you use one of the two: both together would bill the same sale twice, so the setup refuses it.
What you decide
From which date
Only opportunities won on or after the date you pick become invoices (60 days back by default). Older wins never do.
From which amount
Optionally only opportunities worth at least an amount you set, compared in the opportunity's own currency.
The money tags
Off until you switch them on. They need contacts to sync both ways.
