How syncing works

How Google Sheets and QuickBooks Online sync

Every integration runs the same way, whichever two systems it connects. Here is what one sync does, how you choose the direction, and what happens when the same record changed on both sides. Each pair page then shows which fields travel between those two systems.

  • Nothing created twice
  • Never moves a record backwards
  • Your own notes are never touched

One way, into QuickBooks Online

Google Sheets sends and QuickBooks Online receives, for every record type. Shown for Google Sheets and QuickBooks Online.

How a sync runs

One sync, step by step

Step 1 of 8

The connection is checked

The Google sign in and the QuickBooks Online connection are checked and refreshed. An uploaded file needs no sign in: the version you saved is read. If a connection was removed, the integration pauses and you get one message with a reconnect button.

Changes in both systems

When a record also changes in QuickBooks Online

  • The sheet leads for what it sends: when a row changes, the fields this integration carries follow in QuickBooks Online on the next sync.
  • A carried field edited in QuickBooks Online keeps that edit until the same row changes again in the sheet.
  • Nothing is ever written back into the sheet, and everything else your team adds in QuickBooks Online is never touched.
  • A sync never deletes and never moves a record backwards: a paid invoice is not reopened and a closed deal stays closed.
