What syncs

What HubSpot keeps in step

Contacts

Both ways
  • Both ways with the other systems, and one way into Jobber as clients.
  • Traffic source is read from HubSpot, never written.
  • The lifecycle stage moves forward to Customer when QuickBooks Online, Xero, GoHighLevel or Simpro says the contact pays, and is never lowered.

Invoices

Both ways
  • Both ways with QuickBooks Online, Xero, FreshBooks, Zoho Books and FreeAgent.
  • Status only moves forward: paid in full becomes paid, a part payment is recorded as a payment and the invoice stays open until nothing is owed, and voided becomes voided.
  • An invoice settled by hand in HubSpot is never reopened.
  • One way into Jobber, and one way in from Stripe, Square, GoHighLevel and Housecall Pro, plus WooCommerce orders.
  • Approved Simpro invoices arrive one way; paid in Simpro becomes paid in HubSpot.

Quotes

Both ways
  • Both ways with QuickBooks Online, Xero, FreshBooks, Zoho Books and FreeAgent.
  • A HubSpot quote becomes a quote or estimate in the books with its lines; published, accepted or voided in HubSpot, it follows (FreshBooks keeps its own status).
  • A quote from the books arrives in HubSpot as a draft on the contact, with its lines, its number and your first quote template.
  • You link it to a deal and publish it in HubSpot, so the status is decided there.

Deals

One way
  • Into Jobber jobs; a won deal completes the job.
  • With ServiceM8 in the direction you pick; a done job moves the deal to won.
  • Housecall Pro jobs, or estimates once sent, arrive as deals, one way, and follow to won and lost; a won deal becomes an unscheduled Housecall Pro job.
  • With GoHighLevel, one way in the direction you pick: opportunities arrive as deals in your first pipeline, or deals become GoHighLevel opportunities.
  • With Pipedrive, Salesforce, Zoho CRM, ActiveCampaign and Keap, deals travel one way, won and lost included (Keap on Max Classic).
  • A won deal can become a CompanyCam project at the customer's address.
  • Or a draft invoice in QuickBooks Online, Xero, FreshBooks, Zoho Books or FreeAgent.
  • Once that invoice is paid, the deal can move to a won stage you pick.
  • A sent quote from those books can arrive as a deal: accepted is won, declined is lost.
  • Won and lost are read from your pipeline settings, so custom stages work.
  • With Simpro, an open or won deal becomes a Simpro lead, and a sent Simpro quote a deal that follows it, with its lines in the deal description.

Connecting

How HubSpot connects

Official sign in

OAuth

HubSpot connects with its official sign in. Sign in to CRM Connector, choose Connect in the app, sign in to HubSpot, approve the app for the portal, done. The app asks only for the scopes it uses. Removing the connection invalidates our access tokens at HubSpot.

What you need

  • A CRM Connector account. Connecting happens inside the app.
  • A HubSpot account.
  • The free CRM tier works for contacts; invoices need a HubSpot plan that includes them.

You approve access on HubSpot's own sign in page. Your HubSpot password never reaches CRM Connector.

Good to know

How HubSpot behaves

What is true for HubSpot whichever system you pair it with. What is particular to one pairing is on that pair's own page, linked from its tile above.

  • A cleared field stays cleared

    • When a two way contact sync empties a company name, phone or address part in the other system, it is emptied in HubSpot too, instead of coming back on the next run.
    • A field that never held a value is never emptied.
  • Phone number or mobile phone number

    • HubSpot keeps a contact's phone in two fields.
    • The phone goes into Phone number, or into Mobile phone number when you pick that in the Fields panel; the picked field is also the one read back, and the other is left alone.
  • A part payment tops up the balance

    • An invoice paid in QuickBooks Online, Xero, FreshBooks, Zoho Books or FreeAgent, fully or in part, gets a payment record for exactly the amount newly paid.
    How part payments work
  • Quotes arrive as drafts

    • HubSpot lets no other app publish or accept a quote, so a quote from the books lands as a draft and you publish it in HubSpot, on a deal.
    • Syncing quotes needs the quotes permission, optional when you connect HubSpot; a connection made without it has to sign in again.
  • Lifecycle stage only moves forward

    • The only lifecycle change the platform makes is Customer, for a contact another system says pays.
    • A contact already at Customer, Evangelist, Other or a stage you added is left alone, and lead source is never written.
  • Narrow contacts by lifecycle stage

    • When HubSpot sends contacts, tick the lifecycle stages that should travel, for example only Customer.
    • The stages are your portal's own, custom ones included, read live from HubSpot.
    • A contact that already synced keeps syncing when its stage changes.
    • On a two way contact sync it narrows what HubSpot sends; the other system picks its own filter if it has one.
  • Offline is not a lead source

    • HubSpot files a contact typed in, imported or created by an app as an offline source.
    • That says how the contact got into HubSpot, not what brought the customer, so it is never used as a lead source in reports or sent to another system.
  • An owner for new contacts

    • Some HubSpot portals require an owner on every new contact. Pick a HubSpot user for that on the contact sync, and every contact the sync creates in HubSpot gets that owner; contacts that already exist keep theirs. A portal with only one user gets that user as the owner by itself, and with several you get a notification asking you to pick one.
    • When your portal requires an email or a phone on new contacts, a contact with neither is skipped with that reason and created once it has one.
  • One contact per email

    • HubSpot keeps a single contact per email address, so two clients sharing an inbox land on the one HubSpot contact instead of failing.
    • When a synced contact gets an email another HubSpot contact already holds, the rest of the contact still updates and the email stays as HubSpot has it.
  • No negative prices

    • HubSpot takes no negative price, so a discount or credit line from the other system becomes a discount on the sold lines and the total stays the source total.
    • An invoice below zero is refused before anything is created.
  • One street line

HubSpot has no second address line, so line 2 stays in the other system and is never wiped.

  • Currency must be switched on

    • HubSpot only accepts invoices in a currency enabled in the account.
    • Otherwise the invoice still arrives, with the right amounts, in a currency HubSpot does accept.
