Pipedrive persons, both ways with QuickBooks Online, Xero, FreshBooks, HubSpot, ServiceM8 and more, and one way into Jobber as clients. First name, last name, primary email and primary phone travel on every change. A person on a won deal counts as a customer for the filters, and person labels power a label filter.

A won deal becomes a scheduled Jobber job, a ServiceM8 work order, or a draft invoice in QuickBooks Online, Xero or FreshBooks, and an open deal can become a Jobber request, in the pipeline stages you tick. With HubSpot, deals travel one way in the direction you pick, won and lost included, and HighLevel opportunities arrive in Pipedrive as deals. A quote sent from Zoho Books arrives as a deal that follows it: accepted is won, declined or expired is lost.

Stage rules

Stage rules: a won deal starts the work

A deal is a sale, not work. Winning it is the moment the work starts, so a won deal becomes new work or a draft invoice. Each rule needs a start date (60 days back by default), so deals won long ago never become new work on the first run.

  • Deal won, Jobber job created

    A new Jobber job for the same client, named after the deal, with its value as the amount and the won day as the start day. Open and lost deals stay in Pipedrive.

  • Deal won, ServiceM8 work order created

    A new work order for the same client, with the deal value as one material line.

  • Deal won, draft invoice waiting

    A draft invoice in QuickBooks Online, Xero or FreshBooks for the same customer, dated the won day, with one line for the deal value. The sync never sends or pays it, and it is made once per deal. Invoice these deals in one place only: the setup warns not to also invoice them with Pipedrive's own QuickBooks app.

  • Quote sent in Zoho Books, deal created

    A quote sent from Zoho Books becomes a Pipedrive deal for the same person, in the first stage of your first pipeline, named Quote and its number. Accepting it moves the deal to won. Declining it or letting it expire moves it to lost. Draft quotes do not travel, and nothing comes back into Zoho Books. This is one way, from Zoho Books into Pipedrive only.

How Pipedrive connects

Official sign in

OAuth

Pipedrive connects with its official sign in. Sign in to CRM Connector, choose Connect in the app, sign in to Pipedrive and approve the app for the company, done. One sign in connects one Pipedrive company; add another company with another sign in. Started from an app store install, Pipedrive is the system that receives; an integration that sends from Pipedrive is set up in the app afterwards. Removing the connection also uninstalls the app at Pipedrive's side, and uninstalling it from Pipedrive itself turns the connection off here too: its integrations pause right away, with no need to wait for a failed sync.

What you need

  • A CRM Connector account. Connecting happens inside the app.
  • A Pipedrive account.
  • Api use counts towards the company's daily Pipedrive budget, which depends on its plan and seats.

You approve access on Pipedrive's own sign in page. Your Pipedrive password never reaches CRM Connector.

How Pipedrive behaves

What is true for Pipedrive whichever system you pair it with. What is particular to one pairing is on its tile above.

  • Organizations are never renamed

    A person's organization is their company name. It is set when the person is created, and a sync never renames or switches an organization, because every person in it shares it.

  • Primary email and phone

    Only a person's primary email and primary phone travel. Their other emails and phones stay in Pipedrive as they are.

  • Addresses are read, not written

    The person's postal address, or the organization's when the person has none, travels out of Pipedrive. No address is written into Pipedrive.

  • A deal needs a person

    A deal with only an organization and no person waits until it has a person, then travels on the next sync.

  • The deal value is one amount

    Deal products do not travel as lines: the value becomes the job amount, one material line or one invoice line.

  • Nothing billing related flows in

    Pipedrive has no invoices or quotes, so nothing from your books is written into Pipedrive except contacts and a quote sent from Zoho Books, which arrives as a deal.

  • A daily api budget

    Pipedrive meters api use per company per day. Only records changed since the last run are read, and a very large first sync is spread over rounds.
