Stage rules

Stage rules: a won opportunity starts the work

An opportunity is a sale, not work. Winning it is the moment the work starts, so a won opportunity becomes new work or a draft invoice. Each rule needs a start date (60 days back by default), so opportunities won long ago never become new work on the first run.

  • Opportunity won, Jobber job created

    A new Jobber job for the primary contact, named after the opportunity, with its amount and the close date as the start day. Open and lost opportunities stay in Salesforce.

  • Opportunity won, ServiceM8 work order created

    A new work order for the same client, with the amount as one material line.

  • Opportunity won, draft invoice waiting

    A draft invoice in QuickBooks Online, Xero or FreshBooks for the same customer, dated the close date, with one line for the amount. The sync never sends or pays it.

  • Quote sent, opportunity following

    A quote sent from your books becomes an opportunity at your first open stage; accepting it moves it to your first won stage, declining or letting it expire to your first lost stage.

How Salesforce connects

Official sign in

OAuth

Salesforce connects with its official sign in. Sign in to CRM Connector, choose Connect in the app, sign in to Salesforce and approve the app, done. In some orgs a Salesforce administrator has to approve or install the app first. One sign in connects one Salesforce org; production and Developer Edition orgs are supported, sandboxes not yet.

What you need

  • A CRM Connector account. Connecting happens inside the app.
  • A Salesforce org with api access (Enterprise, Unlimited, Performance or Developer Edition, or Professional Edition with the api add-on) and a user with the API Enabled permission.

You approve access on Salesforce's own sign in page. Your Salesforce password never reaches CRM Connector.

How Salesforce behaves

What is true for Salesforce whichever system you pair it with. What is particular to one pairing is on its tile above.

  • Api access depends on the edition

    Salesforce Enterprise, Unlimited, Performance and Developer Edition include api access. Professional Edition needs Salesforce's api add-on, and Group and Essentials cannot connect.

  • Accounts are never renamed

    A contact's company is its account. It is linked when the contact is created, to an account with exactly that name or a new one, and a sync never renames or switches an account, because everyone in it shares it.

  • Leads only when you switch them on

    Salesforce keeps leads apart from contacts. Open leads travel only into Jobber, as clients and requests, and only when you switch them on for the integration.

  • A closed opportunity stays closed

    An opportunity written by a sync moves from open to won or lost once and is never reopened or moved out of a closed stage. Salesforce ignores a new amount on an opportunity that has products.

  • No invoices into Salesforce

    Salesforce has no standard invoice, so invoices and payments stay in your books. Quotes arrive as opportunities, not as quotes.

  • A shared daily api limit

    Every Salesforce org has a daily api limit shared with its other tools. Only records changed since the last run are read, and syncing pauses on its own at 90% so your other tools keep the rest.

  • Your duplicate rules win

    When a duplicate rule in your org blocks a new record and points at one existing record, that one is updated instead. When it points at several, the record is not created and the sync says why.
