Pipedrive and Xero

Every won Pipedrive deal, a draft invoice in Xero

Every deal won in Pipedrive becomes a draft Xero invoice for the same person, and that person gets a Customer label once they have paid or an Overdue label while an invoice is late, so sales knows without asking the bookkeeper.

  • Draft invoices, approved by you
  • Customer and Overdue labels
  • Official sign in for both

How it works

From a won deal to a paid invoice

What happens on every sync, and where your team takes over.

  1. 1Pipedrive logoIn Pipedrive

Your people stay the same in both

    • Pipedrive persons go into Xero as contacts, or both ways if you like, so a won deal's invoice finds its contact.
  2. 2Pipedrive logoIn Pipedrive

    The deal is won

    • A draft invoice is created in Xero for the same person, dated the day the deal was won, with one line for the deal value coded to your sales account.
    • Xero numbers it, and your Xero payment terms set the due date.
  3. 3Xero logoIn Xero

    You approve it

    • The invoice stays a draft: set the tax and approve it in Xero.
    • Editing the deal later does not rewrite the invoice.
  4. 4Xero logoIn Xero

    Payments show on the person

    • Optionally the Pipedrive person gets the label Customer once they have paid a Xero invoice, and Overdue while one is past due.
    • Overdue goes again when nothing is past due.

Set it up your way

Your choice, your rules

Use one, or both side by side.

Two directions to choose from

  • For teams that sell in Pipedrive and bill from Xero.
  • Every won deal becomes one draft Xero invoice for its value.

Each runs as its own integration, and they never chain: a deal that came from a Xero quote is never invoiced again.

What you decide

  • From which date

Only deals won on or after the date you pick become invoices (60 days back by default). Older wins never do.

  • From which amount

Optionally only deals worth at least an amount you set, compared in the deal's own currency.

  • A person on every deal

An invoice needs a contact, so a deal with only an organization is refused until a person is added.
