  • A quote sent from your books arrives as a deal: accepted is won, declined is lost.
  • Once its invoice is paid, a won deal can move to a stage you pick.
  • With Simpro, an open or won deal becomes a Simpro lead (Plus and up), and a sent Simpro quote a deal that follows it, with its lines in the deal description.

Stage rules

Stage rules: a won deal starts the billing or the work

A deal is a sale. Winning it is the moment to bill or to start the work, so a won deal becomes a draft invoice, a work order or a project. Each rule needs a start date (60 days back by default), so deals from long ago never become new work on the first run.

  • Deal won, draft invoice waiting

    • A draft invoice in QuickBooks Online, Xero, FreshBooks, Zoho Books or FreeAgent for the same contact, with one line for the deal value.
    • Made once per deal, never sent or paid by the sync.
    • It cannot run next to invoices synced as they are in the same integration.
  • Invoice paid, deal moves on

    • Optional on the rule above, off by default.
    • Once the invoice is paid, the deal moves to a stage you pick, for example a Paid stage, and stays won.
    • It moves once, only while it is won; lost, reopened and other pipeline deals stay put.
  • Deal won, work created

    • A ServiceM8 work order for the same client, with the deal value as one material line.
    • Or a CompanyCam project, when the CompanyCam customer already has a full address.
  • Quote sent from your books, deal created

    • A quote sent from your books becomes a deal in the first stage of your first pipeline.
    • It is named Quote and its number, with the quote total as its value.
    • Accepted marks it won; declined or expired lost; a closed deal never reopens.
    • Draft quotes do not travel, and the deal never becomes a second invoice in the same books.

How ActiveCampaign connects

API URL and API key

Pasted key

ActiveCampaign connects with its API URL and API key, both under Settings, Developer in ActiveCampaign. Paste them into the wizard, on either side of the integration: there is no sign in button. A key that is reset pauses the integration and asks for the new one.

What you need

  • A CRM Connector account. Connecting happens inside the app.
  • An ActiveCampaign account, and a user whose key can see contacts and deals: the key belongs to the user who copied it, and that user gets ActiveCampaign's deal emails.
  • Deals need an ActiveCampaign plan with the Deals pipeline.

You create this key in ActiveCampaign and can withdraw it there at any time.

How ActiveCampaign behaves

What is true for ActiveCampaign whichever system you pair it with. What is particular to one pairing is on its tile above.

  • No address in ActiveCampaign

    • ActiveCampaign keeps no address of its own, only custom fields that differ per account.
    • No address is read from or written into ActiveCampaign; it stays in the other system as it is.
  • New contacts land without a list

    • A contact the sync creates in ActiveCampaign gets no list and no tags.
    • It receives no campaign until you add it to one, for example with an automation.
    • A sync never subscribes anybody to a list: that is consent.
  • A contact needs an email

    ActiveCampaign refuses a contact without an email, so such a contact is not created there and shows as a failed record with the reason.

  • Accounts are never renamed

    • A contact's account is their company name.
    • It is linked when the contact is created, to an account of exactly that name or a new one, and a sync never renames an account or moves a contact to another.
  • Tags that follow the money, only when you switch them on

    • Tags a contact Customer once they paid, Overdue while past due, or Job completed.
    • Works with QuickBooks Online, Xero, ServiceM8, WooCommerce or Simpro contacts flowing into ActiveCampaign.
    • Also when starting from ActiveCampaign with contacts syncing both ways.
    • Off until switched on, because tags start ActiveCampaign automations.
    • Missing tags are created; no tag is renamed or deleted.
    • Customer and Job completed stay; Overdue goes once nothing is past due.
    • Every other tag on the contact stays as it is.
  • Tags power a filter

    • Only contacts carrying one of the tags you choose start travelling out of ActiveCampaign.
    • Syncing both ways, each system picks its own tags. With a system that has no tags, the filter works one way only.
    • A contact that already travelled keeps syncing when the tag is removed.
  • Deal emails go to the key's user

    • ActiveCampaign emails the deal owner, the user whose API key this is, about every deal change the sync makes.
    • Turn deal notifications off for that user in ActiveCampaign if that is too much mail.
  • No won date

    • ActiveCampaign keeps no date a deal was won.
    • A draft invoice is dated by the deal's last change when the sync first finds it won, and keeps that date.
    • The start date of a won deal rule counts from the day a deal was created.
  • Deals enter your first pipeline

    • A deal written into ActiveCampaign enters the first stage of your first pipeline, won or lost follows, and a closed deal is never reopened.
    • The expected close date is read but never written.
    • A deal needs a contact: one with only an account is refused, with the reason, until it has one.
  • The deal value is one amount

    Deal products do not travel: the value becomes one invoice line, one material line or one amount.

  • A shared api budget

    • ActiveCampaign allows 5 calls a second per account, shared by every key of that account.
    • Only records changed since the last run are read, and the sync waits when ActiveCampaign asks it to slow down.
