Name, email, phone and mailing address travel on every change. The account is the company, set once. A contact on a won deal counts as a customer for the filters.

Stage rules

Stage rules: a won deal starts the work

A deal is a sale, not work. Winning it creates the job, the work order or the draft invoice. Each rule needs a start date (60 days back by default), so deals won long ago never become new work on the first run.

  • Deal won, Jobber job created

    A new Jobber job for the deal's contact, named after the deal, with its amount and the close day as the start day. Open and lost deals stay in Zoho CRM.

  • Deal won, ServiceM8 work order created

    A new work order for the same client, with the amount as one material line.

  • Deal won, draft invoice waiting

    A draft invoice in QuickBooks Online, Xero or FreshBooks for the same customer, dated the close day, with one line for the amount. The sync never sends or pays it. It cannot run next to invoices synced as they are in the same integration.

  • Quote sent, deal following

    A quote sent from your books becomes a deal for the same contact at your first open stage, named Quote and its number. Accepting it moves the deal to won; declining it or letting it expire moves it to lost. Draft quotes do not travel.

How Zoho CRM connects

Official sign in

OAuth

Zoho CRM connects with its official sign in. Sign in to CRM Connector, choose Connect in the app, sign in to Zoho and approve the app. It works for every Zoho region (US, Europe, India, Australia, Japan, Canada, Saudi Arabia, the UAE and Singapore): the sign in tells us which region your account is in, and every sync talks to that region from then on. There is nothing to choose. The person who signs in must be an administrator of the Zoho organisation. One sign in connects one organisation, and sandbox organisations are refused. Started from a marketplace install, Zoho CRM is the system that receives. Removing the connection ends access here. The app stays listed under Connected Apps in Zoho until you remove it there.

What you need

  • A CRM Connector account. Connecting happens inside the app.
  • A production Zoho CRM organisation and a Zoho user who is an administrator of it.

You approve access on Zoho CRM's own sign in page. Your Zoho CRM password never reaches CRM Connector.

How Zoho CRM behaves

What is true for Zoho CRM whichever system you pair it with. What is particular to one pairing is on its tile above.

  • Not connected to Zoho Books

    Zoho already keeps Zoho CRM and Zoho Books in step itself, so this platform does not pair them. Running both would write the same record twice.

  • Won and lost come from your pipelines

    A deal counts as won or lost by the closed won and closed lost stages in your Zoho pipeline settings, not by what a stage is called. Renamed stages and several pipelines work.

  • Accounts are never renamed

    A contact's company is its Zoho account. It is linked when the contact is created, to an account with exactly that name or a new one, and a sync never renames it or moves the contact to another account, because everyone in it shares it.

  • Leads only when you switch them on

    Open leads travel only into Jobber, as clients and requests, and only when you switch them on for the integration.

  • A deal needs a contact

    A deal without a contact is not sent. It shows as a failed record with the reason, and goes through on its own once a contact is added.

  • A closed deal stays closed

    A deal written by a sync moves from open to won or lost once and is never reopened. A deal already lost before it was seen is not created.

  • One amount, one street line

    The deal amount travels as one amount, not the products on the deal. Of the mailing address, the country, city, state, postal code and the first street line travel.

  • No invoices into Zoho CRM

    Zoho CRM has no standard invoice, so invoices and payments stay in your books. Quotes from the books arrive as deals.

  • A daily credit budget

    Zoho gives every organisation a daily allowance of api credits, shared with its other tools and depending on the Zoho CRM edition. Only records changed since the last run are read, and the sync pauses on its own before the allowance runs out.
