Your spreadsheet, synced into the systems you run on

CRM Connector reads your Google Sheet, or an Excel or CSV file, works out what each tab holds and matches every column to the right field of the system it goes into. Customers, invoices, quotes, deals and jobs arrive there, and a row you edit follows on the next sync. Nobody types the same customer twice or imports a file by hand.

How it works

From rows in a sheet to records in your books

Start from a template made for the system it goes into, or keep the sheet you already have. CRM Connector reads it, matches it and keeps every change in step.

  1. 1Choose what to syncContacts, invoices, quotes, deals, jobs or appointments.
  2. 2Our template, or your sheetMade in your Drive for the system it goes into, or the sheet you keep.
  3. 3Fields find their columnsOur template matches by itself; your own sheet on one screen.
  4. 4Check the resultRows that share a number become one record.
  5. 5Every change followsEdit a row and the record updates on the next sync.

What syncs

What Google Sheets keeps in step

From your sheet, one way

Contacts

  • Into your CRM, your accounting software, your field service app or your online store.
  • One full name column is split into first and last name; company, email, phone and the address travel too. Lead source and tags travel where the system you sync into takes them.
  • Rows that share an email become one contact, so a customer listed on several rows is created once.

Invoices and quotes

  • Into your accounting software or your CRM, with their line items and the same total.
  • Lines can be one per row, a set of columns per line, or a tab of their own joined on the invoice number.
  • Statuses in your own words are mapped once, so "Paid" becomes a payment and a word you do not map stays a draft.

Deals and jobs

  • Deals into your CRM's pipeline.
  • Jobs into your field service app as work orders with their materials, or as projects at the address where the work happens.
  • Open or won enquiries into your job management software as leads.

Appointments

  • Into your calendar or your field service schedule, with a start and an end or a duration in hours.

Pair Google Sheets with any of these

Pick the second system in the setup wizard. Each tile lists what travels between the two, and How it syncs opens that pair's own page with every field and what is particular to the pairing.

Connecting

How Google Sheets connects

Google sign in, or an Excel or CSV upload

OAuth
  1. 1Sign in to CRM Connector and choose Google Sheets, then sign in with Google. For an Excel or CSV file there is nothing to sign in to.
  2. 2Choose what to sync: customers, invoices, quotes, deals, jobs or appointments.
  3. 3Recommended: let CRM Connector make the sheet from our template, in your own Google Drive, with a tab per record type and a column for every field the other system takes. Nothing has to be matched.
  4. 4Or pick a spreadsheet you already keep in Google's own file picker, or upload your .xlsx or .csv file. CRM Connector can open only the file you pick or the sheet it made for you, never the rest of your Drive.
  5. 5Only for a sheet of your own: match its columns to the fields of the other system on one screen. Every match we find is filled in already.
  6. 6Start: every run reads what is in the sheet.

What you need

  • A CRM Connector account. Connecting happens inside the app.
  • A Google account with access to the spreadsheet, or an Excel (.xlsx) or CSV file of up to 10 MB.
  • A header row on every tab you want to sync.

You approve access on Google Sheets's own sign in page. Your Google Sheets password never reaches CRM Connector.

Good to know

How Google Sheets behaves

What is true for Google Sheets whichever system you pair it with. What is particular to one pairing is on that pair's own page, linked from its tile above.

  • One way, out of the sheet

    • Records travel from the sheet into the other system, never back.
    • Nothing is ever written into your sheet, so your formulas, colours and notes stay as they are.
  • Every tab is read on every sync

    • A sheet keeps no dates of change, so the tabs you set up are read whole on each run.
    • Each row is compared with what was last written, and an unchanged row is skipped, so the other system is only touched for a real change.
  • A key column recognises each row

    • You pick how a row is recognised again: an email for a contact, a number for an invoice or a quote.
    • That is what makes an edited row update its record instead of making a new one.
    • Once an integration has synced, the file and each tab's key stay as they are; to change either, make a new integration.
  • Columns are found by their header

    • Moving or inserting a column changes nothing.
    • A renamed or removed column stops only what it carried, and the run says which column is gone.
    • Headers in English, Dutch, German, French and Spanish are recognised.
  • Deleting a row deletes nothing

A row that disappears from the sheet leaves its record in the other system alone.

  • Up to 20 tabs, 200 columns and 50,000 rows

Per file, 5 million cells in all, and an uploaded file is at most 10 MB. A formula in an uploaded file needs its result saved, so open and save it in Excel first. A title row or an export line above the header is skipped by itself.

  • An uploaded file is a snapshot

    • An Excel or CSV file syncs as it was when you uploaded it.
    • Upload a new version on the integration to sync changes. It is checked against your setup first and only used once you save it, so a run never reads a file nobody looked at.
  • Not into Jobber

Jobber takes records from a fixed list of systems only, so a sheet does not pair with Jobber.
