Zoho Books clients, both ways with QuickBooks Online, Xero, FreshBooks, HubSpot, Pipedrive, Salesforce, ServiceM8 and more, and one way into Jobber. Name, company, email, phone and billing address follow every change, and a business client is never renamed to a person. Zoho Books keeps customer names unique, so a second customer with a name already in use gets their email behind the name. Only active customers sync.

Stage rules

Stage rules: a sale becomes a Zoho Books invoice, or an estimate becomes work

Each rule needs a start date, 60 days back by default, so nothing from long ago is created on the first run.

  • Deal won, draft invoice waiting

    A deal won in HubSpot or Pipedrive, or an opportunity won in HighLevel or Salesforce, becomes a draft Zoho Books invoice for the same client, with one line for the amount. The sync never sends it. It cannot run next to invoices synced as they are in the same integration.

  • Estimate accepted, work created

    An estimate accepted in Zoho Books becomes a Jobber job or a ServiceM8 work order for the same client, with its lines.

  • Estimate sent, deal or opportunity created

    A sent Zoho Books estimate becomes a HubSpot deal, a Pipedrive deal or a Salesforce opportunity that follows it. Accepted moves it to won. Declined or expired moves it to lost.

How Zoho Books connects

Official sign in

OAuth

Zoho Books connects with its official sign in. Sign in to CRM Connector, choose Connect in the app, sign in to Zoho and approve the app. It works for every Zoho region (US, Europe, India, Australia, Japan, Canada, Saudi Arabia, the UAE and Singapore): the sign in tells us which region your account is in, and every sync talks to that region from then on. There is nothing to choose. The person who signs in must be an administrator of the Zoho organisation. One connection covers one Zoho Books organisation: when your Zoho user belongs to several, the default active one is connected. Started from a marketplace install, Zoho Books is the system that receives. Removing the connection ends access here. The app stays listed under Connected Apps in Zoho until you remove it there.

What you need

  • A CRM Connector account. Connecting happens inside the app.
  • A Zoho Books organisation and a Zoho user who is an administrator of it.

You approve access on Zoho Books's own sign in page. Your Zoho Books password never reaches CRM Connector.

How Zoho Books behaves

What is true for Zoho Books whichever system you pair it with. What is particular to one pairing is on its tile above.

  • Not connected to Zoho CRM

    Zoho already keeps Zoho Books and Zoho CRM in step itself, so this platform does not pair them. Running both would write the same record twice.

  • Customers only

    Only active customers sync. Vendors, bills, expenses and credit notes stay in Zoho Books.

  • Zoho Books numbers its own records

    It keeps the other system's number as the reference on the invoice or estimate and finds the record again by it. Lines, the total and the message are set when the invoice or estimate is created; later line edits stay where they were made.

  • Marked sent, never emailed

    An invoice sent in the other system is marked sent in Zoho Books. The sync never emails your client.

  • Payments for the amount newly paid

    A part payment tops Zoho Books up by exactly the new amount, so an instalment is never counted twice.

  • An invoice that received money is not voided

    When Zoho Books has already recorded a payment, a void from the other system is left alone, because voiding would turn that money into credit. Void it in Zoho Books if that is what you want.

  • One item is required

    Zoho Books needs at least one item in the organisation before an invoice or estimate can be created. Add one under Items.

  • Amounts are never converted

    A client is billed in one currency in Zoho Books. A record in another currency is written in the client's currency with its amounts unchanged.

  • A limit on calls

    Zoho limits how many calls a Zoho Books organisation may make each day, from 1,000 on the Free plan to 10,000 on the top plans. Only records changed since the last run are read, and when Zoho asks for a pause the run waits and continues where it stopped. A first sync on a small plan can take days, so choose a sync from date.
