Name, organisation, email, phone and address follow every change. Every contact travels, including one with no invoice yet and a supplier you only have bills from.

Both ways with QuickBooks Online, Xero, Zoho Books, FreshBooks and HubSpot, one way into Jobber, and one way into FreeAgent from Stripe, Square and HighLevel. Dates and sent follow both ways, and a payment explained in FreeAgent reaches the other system for exactly the amount newly paid.

Both ways

Both ways with QuickBooks Online, Xero, Zoho Books and FreshBooks, and one way into Jobber as draft quotes. Approved and rejected travel both ways, except with FreshBooks, which decides. An approved estimate can become a Jobber job, a ServiceM8 work order or a CompanyCam project, and a sent one a HubSpot, Pipedrive or Zoho CRM deal or a Salesforce opportunity.

Stage rules

Stage rules: a sale becomes a FreeAgent invoice, or an estimate becomes work

Each rule needs a start date, 60 days back by default, so nothing from long ago is created on the first run.

  • Deal won, draft invoice waiting

    A deal won in HubSpot, Pipedrive or Zoho CRM, or an opportunity won in HighLevel or Salesforce, becomes a draft FreeAgent invoice for the same contact, with one line for the amount. The sync never sends it. It cannot run next to invoices synced as they are in the same integration.

  • Estimate approved, work created

    An estimate approved in FreeAgent becomes a Jobber job or a ServiceM8 work order for the same client, with its lines, or a CompanyCam project at the customer's address.

  • Estimate sent, deal created

    A sent FreeAgent estimate becomes a HubSpot, Pipedrive or Zoho CRM deal, or a Salesforce opportunity, that follows it. Approved moves it to won, rejected to lost.

How FreeAgent connects

Official sign in

OAuth

FreeAgent connects with its official sign in. Sign in to CRM Connector, choose Connect in the app, sign in to FreeAgent and approve the app. There are no keys to copy. One connection covers one FreeAgent company. Removing the connection stops every sync with it at once; the app stays approved in FreeAgent until you remove it there.

What you need

  • A CRM Connector account. Connecting happens inside the app.
  • A FreeAgent company and a user with the Invoices, Estimates & Files access level or higher.

You approve access on FreeAgent's own sign in page. Your FreeAgent password never reaches CRM Connector.

How FreeAgent behaves

What is true for FreeAgent whichever system you pair it with. What is particular to one pairing is on its tile above.

  • Lines at 0% VAT, tax on its own line

    Lines are written into FreeAgent at 0% VAT, and the tax from the other system arrives as one Tax and other charges line, so the total matches. If you are VAT registered, check your VAT return in FreeAgent.

  • Payments come from your bank feed

    An invoice paid in another system arrives marked as sent. FreeAgent marks it paid when you explain the payment from your bank feed, as usual, so no second bank line is ever added. A payment made in FreeAgent does travel out to the other system.

  • No void in FreeAgent

    FreeAgent has no void, so an invoice voided in the other system stays as it is in FreeAgent, and one voided before it ever travelled is not created. An invoice written off in FreeAgent reads as voided elsewhere.

  • Your clients are never emailed

    An invoice or estimate sent in the other system is marked sent in FreeAgent. The sync never emails your client and never switches on reminders or thank you emails.

  • FreeAgent numbers its own invoices

    Your invoice sequence stays unbroken: FreeAgent gives each invoice its own next number and keeps the other system's number as the PO reference, which is also how the invoice is found again. Lines and the total are set when an invoice is created, and once an invoice is sent FreeAgent locks its dates.

  • A user with invoice access connects

    The FreeAgent user who signs in needs the Invoices, Estimates & Files access level or higher (level 4 of 8). A sign in below it is refused with the level named, and a level lowered later stops the sync with the same message.

  • A limit on calls

    FreeAgent allows 3,600 calls an hour per user. Only records changed since the last run are read, but a first sync of a large account can take hours. It waits at the limit and continues by itself; a sync from date keeps older history out.

  • Clients, invoices and estimates only

    Projects, credit notes, bills, expenses, recurring invoices and bank transactions stay in FreeAgent. An invoice below zero is not created.
