Stage rules

Stage rules: a won opportunity starts the work

On Keap Max Classic. An opportunity is a sale, not work. Winning it creates the draft invoice, the work order or the project. Each rule needs a start date (60 days back by default), so opportunities won long ago never become new work on the first run.

  • Opportunity won, draft invoice waiting

    • A draft invoice in QuickBooks Online, Xero, FreshBooks, Zoho Books or FreeAgent for the same contact, with one line for the projected revenue.
    • The sync never sends or pays it.
    • Keep Keap's own QuickBooks Online or Xero order sync off for the same sales.
  • Opportunity won, ServiceM8 work order created

    A new work order for the same client, with the projected revenue as one material line.

  • Opportunity won, CompanyCam project created

    A project named after the opportunity, at the customer's address, so the crew can start taking photos.

  • Quote sent, opportunity following

    • A quote sent from your books becomes a Keap opportunity at the first open stage, named Quote and its number.
    • Accepting it moves the opportunity to your won stage; declining it or letting it expire moves it to your lost stage.
    • Draft quotes do not travel.

How Keap connects

Official sign in

OAuth

Sign in to CRM Connector, choose Connect, sign in to Keap and approve. One Keap account is one connection; an account with several Keap apps connects each one separately.

What you need

  • A CRM Connector account. Connecting happens inside the app.
  • A Keap account.
  • Opportunities need Keap Max Classic; contacts and tags work on every edition.

You approve access on Keap's own sign in page. Your Keap password never reaches CRM Connector.

How Keap behaves

What is true for Keap whichever system you pair it with. What is particular to one pairing is on its tile above.

  • Opportunities need Keap Max Classic

    • Keap opens opportunities to other apps only on Max Classic.
    • Keap Pro and Max keep their pipeline in deals no other app can reach, so on those editions contacts and tags sync and opportunities do not.
    • The setup says so on every opportunity row.
  • Not connected to Jobber

    Jobber decides which systems may send into it, and Keap is not one of them yet. Every other system pairs with Keap.

  • Companies are never renamed

    • A contact's company is a Keap company record.
    • It is linked when the contact is created, to a company with exactly that name or a new one, and a sync never renames it or moves the contact to another, because everyone in it shares it.
  • The first email and phone

    • The first email and phone slot of a Keap contact travel.
    • A new email or phone takes that slot, the old one moves to a free slot, and the contact's other emails and phones stay.
    • A phone removed on the other side removes the contact's phones in Keap.
  • State and country are set once

    • The billing address travels, else the shipping or other address.
    • Street, city and postal code follow every change; state and country are set when the contact is created and then kept as Keap holds them.
  • Tags pick who travels

    • Only contacts with a Keap tag you choose can start to travel.
    • Syncing both ways, each system picks its own tags. With a system that has no tags, the filter works one way only.
    • Keap does not count adding a tag as a change, so a contact tagged later starts to travel the next time something else on it changes.
  • No customers only or leads only

    Keap has no field that says who is a customer, so those choices are offered only when the other system sends.

  • Won and lost follow your stage names

    • A stage called Won, Win or Sold, or at a 100% chance, is won; Lost or Loss is lost.
    • A closed opportunity is never reopened, and one already lost when first seen is not created.
  • Tags that follow the money, only when you switch them on

    • Tags a contact Customer once they paid, Overdue while past due, or Job completed.
    • Works with QuickBooks Online, Xero, ServiceM8, Simpro or WooCommerce (from WooCommerce only Customer, once an order is paid).
    • Off until switched on, because tags start Keap campaigns and automations.
    • Customer and Job completed stay; Overdue goes once nothing is past due.
    • Missing tags are created; every other tag stays, and none is renamed or deleted.
  • A shared api budget

    • Keap shares one api budget across every account the app serves, so Keap syncs at most every 30 minutes.
    • Each Keap account also has its own day budget; one that gets close waits for the next day while every other account keeps syncing.
    • Only records changed since the last run are read.
  • Orders stay in Keap

    Keap orders, products, subscriptions, notes and tasks do not travel.
